Cancellation, Rescheduling, Charges & Refunds Policy

Applies to: All coaching sessions and packages (4-week, 6-week, 8-week) booked with us).
1. Booking & Payment (PayFast + EFT)
Your session time (or weekly package slot) is reserved specifically for you.
Payment options

PayFast: Secure online payment (card / instant EFT via PayFast)

EFT: Direct bank transfer

Packages are payable upfront to secure your booking (unless a payment plan is agreed in writing).

EFT bookings are confirmed once payment reflects or once proof of payment is received (as agreed).

2) Single Sessions (45 minutes): Cancellation & Rescheduling
Cancel/reschedule with no charge: up to 24 hours before your appointment. This allows us to offer the slot to another client.
Late cancellations (less than 24 hours) - charged at the full 100% session fee.
No-shows - charged at the full 100% session fee (or counted as used if prepaid).
3. Package Plans (4/6/8 Weeks): Before Session 1 (Start-Date Changes, Cancellations & Refunds)
Because all the sessions reserves a time slot and preparation time prior, the cancellation and refunds terms are stricter. This includes the Package Plans bookings.
A. Cooling-off (online bookings)
If you booked online (PayFast/electronic booking) and no session has taken place yet, you may cancel within 7 calendar days of payment for a refund minus any non-refundable payment platform/bank fees. Once your first session has taken place, the service has started and this cooling-off option no longer applies.
B. Cancellation after cooling-off but before Session 1
If you cancel after the cooling-off window but before the first session:

More than 7 days before your start date: +-90% refund (10% retained for administration and preparation) less banking charges.

7 days or less before your start date: +-50% refund (less any banking charges) OR you may request a 100% credit (valid for 6 months) toward:

a future coaching package, or
-
1:1 - 45-minute sessions

C. Rescheduling your package start date

You may reschedule the start date once, with at least 7 days’ notice, subject to availability.

Additional start-date changes are treated as a cancellation, and the terms above apply.
4. Package Plans (4/6/8 Weeks): After the Journey Starts (Session 1 Completed)

After the first session, packages are non-refundable.

If you choose to stop partway through, no refunds are given for remaining sessions/weeks.

At our discretion, we may offer a partial credit for unused sessions toward future services (credit terms to be confirmed in writing).
5. Rescheduling Sessions Inside a Package (Weekly Sessions)
Weekly sessions are part of your momentum and results, so rescheduling is supported but bounded by maintaining the rhythm and cannot be rescheduled indefinitely.

You may reschedule an individual weekly session with at least 24 hours’ notice, provided the new date still falls within your package window (or an agreed extension).

Each session may generally be rescheduled once.

Late changes (under 24 hours) or no-shows: the session is counted as used and cannot be refunded or moved.
Fairness note (important):
If we are able to fill your late-cancelled slot with another client, we may waive the late cancellation charge at our discretion.
6) Late Arrival

If you arrive late, the session still ends at the scheduled time (we don’t run over into another client’s slot).

If you are more than 15 minutes late, the session may be treated as a no-show, and the full fee applies/ the session is counted as used.
7) Refund Processing (When a Refund Is Approved)

Refunds are processed back to the original payment method (PayFast/card/EFT/payment platform).

Please allow 5–10 business days for funds to reflect, depending on your bank/provider.

Transaction/platform fees already charged by the provider are not refundable and may be deducted from your refund amount.
8) If We Need to Cancel or Reschedule
If we need to cancel or reschedule your session/program due to illness or unexpected circumstances, you will be offered:

The next available suitable appointment/new dates, or
-
A full refund for a cancelled prepaid single session, or
-
For packages, a pro-rated refund for any remaining weeks/sessions not delivered (where applicable).
9) Emergencies & Compassionate Exceptions
We understand that real emergencies happen (serious illness, hospitalisation, accident, bereavement). In genuine cases, we may adjust or waive parts of this policy at our discretion and may request supporting documentation where appropriate.
10) Agreement
By booking and paying for your session or package, you acknowledge and accept this Cancellation, Rescheduling, Charges & Refunds Policy.
